Digitally Revamping Wisconsin Holstein's Registration Process
The Partner
The Wisconsin Holstein Association (WHA) is a membership organization with the purpose of promoting the Registered Holstein breed and its breeders and owners. WHA provides its members with the opportunity for statewide recognition and education through an adult and junior convention, district shows, a statewide championship show, top performer recognition, and young and distinguished breeder recognition. Membership is open to anyone interested in Registered Holsteins.
Opportunity
WHA hosts three large cattle shows a year. Typically, each show captures anywhere from 1,000–1,500 registrations. The small administrative staff was using an outdated (decade-old) website to handle 30-40% of entries. The other 60% were done manually: very labor intensive considering that each form features 50-65 fields and can include multiple cows and very specific numeric registration numbers. The manual process was just not sustainable.
Approach
Our team evaluated the existing system, suggested a CMS change (to WordPress + Gravity Forms) and set up a series of dynamic forms and comprehensive database tables to handle the entries.
Impact
The new website registration portal has significantly enhanced user experience and accessibility, significantly increasing online registrations. For the WI Dairy Showcase, registrations jumped from 591 in 2023 to 1096 in 2024, reflecting an impressive 85.45% increase. Similarly, the WHA District Shows saw registrations soar from 524 in 2023 to 1077 in 2024, a remarkable 105.53% increase. These figures highlight the portal’s success in simplifying the registration and membership processes.
